Key Responsibilities

  • Full‑Cycle Payroll Management: Oversee three bi‑weekly and one monthly payroll processing schedule, guaranteeing that all employees receive correct compensation on time.
  • Team Leadership & Development: Supervise, coach, and mentor a seven‑member payroll team, fostering a culture of continuous improvement and knowledge sharing.
  • Hands‑On Participation: Actively engage in daily payroll activities, reviewing calculations, resolving discrepancies, and serving as the final point of approval.
  • Tax Compliance & Reporting: Prepare, review, and file all payroll‑related tax submissions to ADP and relevant state and federal agencies, maintaining a spotless compliance record.
  • General Ledger Integration: Verify that all payroll expenses are accurately posted to the General Ledger, collaborating closely with the accounting department to reconcile accounts.
  • System Optimization: Maintain deep expertise in the organization’s payroll and accounting software suites, recommending enhancements to improve efficiency and data integrity.
  • Audit & Risk Management: Conduct regular internal audits of payroll processes, identify risk areas, and implement corrective actions to mitigate exposure.
  • Policy Development: Update and develop payroll policies and procedures to reflect changes in legislation, best practices, and organizational needs.
  • Stakeholder Communication: Serve as the primary liaison between payroll, HR, finance, and senior leadership, delivering clear reports and insights on payroll metrics.
  • Training & Onboarding: Design and deliver onboarding programs for new hires within the payroll team, ensuring they quickly achieve competency in systems and processes.

Essential Qualifications

  • Experience: Minimum 10 years of progressive payroll management experience within the healthcare, hospital, or social assistance sectors.
  • Scale: Demonstrated ability to manage full‑cycle payroll for organizations with **500+ employees**.
  • Certification: Must hold a current Certified Payroll Professional (CPP) credential—or an equivalent payroll‑specific certification.
  • Technical Proficiency: Advanced knowledge of payroll and accounting software (e.g., ADP Workforce Now, Paycom, Oracle PeopleSoft, or similar platforms) and strong Excel/Google Sheets capabilities.

  • Experience with multi‑state payroll processing and understanding of varying state tax rules.
  • Familiarity with HRIS integration (e.g., Workday, BambooHR) and data synchronization between HR and payroll systems.
  • Background in process automation using RPA (Robotic Process Automation) tools to streamline repetitive payroll tasks.
  • Prior experience working in a fully remote environment, demonstrating self‑discipline and effective time‑management.
  • Advanced degree in Accounting, Finance, Business Administration, or a related field.
