[Remote] Weekend Personal Assistant to High Net Worth Individual
Note: The job is a remote job and is open to candidates in USA. Gravity Staffing, Inc. is a global investment firm seeking a weekend Personal Assistant to support their Group CEO. The role requires providing critical assistance to an ultra high net worth individual, managing schedules, travel arrangements, and communication across time zones.
Responsibilities
• Schedule, coordinate and keep the Executive up to date on all personal and professional events, meetings, and appointments.
• Arrange worldwide travel accommodations which include private aviation, hotel, and car accommodations, managing in real time as requests come in. Creating detailed itineraries and agendas.
• Manage multiple calendars that are ever changing across various time zones while navigating competing demands.
• Plan events, trips, and personal family functions.
• Proactively adjust schedules and effectively communicate with internal and external stakeholders.
• Function as the hub for communication, coordination, and rhythm across the Executive’s leadership team(s).
• Facilitate seamless communication through email, chat messages and regularly scheduled calls across time zones with the Executive.
• Respond to and resolve administrative inquiries and questions.
• Perform other related ad-hoc projects, expenses, inbox management, as needed.
• Collaborate daily with the Chief of Staff and other Executive Personal Assistants.
Skills
• 5-10 years of previous success as an Executive/Personal Assistant who managed both personal and professional life in a rapidly growing, fast-paced environment, for an ultra high net worth individual/family or a celebrity.
• THIS IS A WEEKEND ONLY JOB SO MUST BE ABLE TO WORK FRIDAY THROUGH SUNDAY
• Must be excited to join a team of experienced professionals who actively work in a collaborative team environment which is made up of 4 individuals working different shifts to create broadbands of support for the executive.
• Excellent ability to adapt to and excel in changing environments.
• Experience working in a global organization and effectively working across multiple time zones.
• Superior organizational skills, attention to detail and follow-through.
• Confidential with a high level of discretion. Trusted, discreet, and able to handle sensitive information with care. Maturity to exercise discernment and privacy around confidential information.
• Proactive, with an ability to prioritize effectively and autonomously with scarce resources and little supervision.
• Exceptional communication skills, both written and oral.
• Strong bias for action with an excellent track record of meeting deadlines, researching solutions, and completing tasks.
• Strong Microsoft Office Suite and project management skills.
• Pragmatic in approach, with the ability to read the room effectively to achieve desired outcomes.
• Comfortable being uncomfortable and navigating tight deadlines, thrives in a fast-paced and demanding work environment.
• Strong ability to maintain a positive attitude and demeanor even in stressful situations.
• Familiarity with working with estates, yachts, private aviation, families and other high-profile individuals and organizations is a plus.
Education Requirements
• A bachelor’s degree is preferred but not required.
