Job Summary We are seeking a reliable and experienced virtual assistant to support our HR operations and administrative functions. Key Responsibilities • Client Scheduling & Calendar Management: Coordinate meetings, interviews, and coaching sessions across multiple time zones • Document Preparation: Draft and format offer letters, employment agreements, policy documents, and other HR materials • Client Communication: Serve as initial point of contact for client inquiries via email and phone • Administrative Support: Maintain client files, update databases, and organize digital documents • Recruitment Assistance: Post job openings, screen resumes, and schedule candidate interviews • Project Coordination: Help track project timelines and deliverables for client engagements • Research Support: Conduct HR-related research on best practices, compliance requirements, and industry trends • Meeting Support: Prepare agendas, take notes, and follow up on action items • General Administrative Tasks: Data entry, invoice processing, and other business support as needed Required Qualifications CRITICAL REQUIREMENTS - Non-Negotiable: • Exceptional written communication skills - You will draft client correspondence, offer letters, and professional documents that reflect our company's quality standards • Outstanding verbal communication skills - You will be the voice of our company when speaking with clients, candidates, and stakeholders • Proven reliability and dependability - Consistent availability, meeting deadlines, and following through on commitments without supervision • Professional phone presence - Comfortable conducting business calls with executives, HR directors, and job candidates Additional Required Qualifications: • Minimum 2-3 years of HR or administrative support experience • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace • Experience with scheduling software (Calendly, Acuity, or similar) • Familiarity with HR processes and employment law basics • Excellent attention to detail and organizational skills • Ability to handle confidential information with discretion • Reliable internet connection and dedicated workspace • Available during EST business hours (flexible schedule within 15-20 hour range) Preferred Qualifications • Experience with HRIS systems (BambooHR, Workday, ADP, etc.) • Background in recruiting or talent acquisition • Knowledge of Maryland/DMV area employment regulations • Experience supporting consultants or professional services firms • Familiarity with video conferencing platforms (Zoom, Teams, etc.) • Basic knowledge of social media platforms What We Offer • Competitive hourly rate ($18-$23/hour based on experience) • Flexible remote work arrangement • Opportunity to work with diverse clients across various industries • Professional development opportunities • Collaborative and supportive team environment • Potential for growth as our business expands Job Type: Part-time Pay: $18.00 - $23.00 per hour Expected hours: 15 – 20 per week Work Location: Remote Apply tot his job Apply To this Job
