Are you an organized and proactive administrative professional with a knack for managing complex projects and supporting senior leadership? We're seeking a highly motivated Executive Assistant & Program Coordinator to provide comprehensive administrative, project, and program support to our President, Founders, and Development team. In this dynamic role, you'll be instrumental in ensuring the smooth operation of daily tasks, coordinating key initiatives, and contributing to our impactful gift programs. What You'll Do: As our Executive Assistant & Program Coordinator, you'll wear many hats, including: • Executive Administrative Support: Provide high-level, multi-faceted administrative assistance to the President, managing their schedule, coordinating meetings and complex travel, and preparing essential reports and presentations. You'll also provide general and personal assistant duties to our Founders at their home office and serve as a backup to their Executive Assistant and House Manager. • Project & Program Coordination: Collaborate with the President to develop and execute project plans, coordinate timelines, schedules, and resources, and track progress for various initiatives. You'll also maintain a robust library of resources for event planning and project management. • Gift Program Support: Work with our Administrative Coordinator to meticulously wrap and prepare gifts for our annual children's holiday and birthday programs (150-180 children) and staff birthday and holiday gifts (600 staff). You'll also support inventory maintenance and transportation of donated gifts. • Chapter Relations Support: Offer logistical support for our chapter relations programs, nurturing strong relationships with Chairs and Committees, managing RENXT accounts for chapters, and maintaining core chapter documents. You'll also assist with chapter appreciation events and provide administrative and logistical support to chapter leadership, including technical support and volunteer engagement. • Data & Reporting: Collect, review, and analyze data to prepare comprehensive reports, charts, and budgets. • Communication: Handle routine and non-routine inquiries from internal and external sources with clear and professional correspondence. What You'll Bring: • A Bachelor's degree (B.A.) from a four-year college or university, OR one to two years of related experience and/or training, OR an equivalent combination of education and experience. • A minimum of four years of administrative support experience. • A minimum of two years of program support and coordination experience. • A minimum of two years of project coordination support experience. • Exceptional organizational skills and the ability to manage multiple priorities independently. • Strong communication and interpersonal skills, with the ability to build positive relationships at all levels. • Proficiency in data analysis and report preparation. • A proactive and resourceful approach to problem-solving. • Flexibility and adaptability to handle a variety of tasks.
