Position HighlightsThe Office of Curricular Affairs at College of Medicine-Phoenix is seeking an Academic Programs Officer I to assist with the CCE Course. This role will provide daily support to the Director and to the Manager of the CCE Course by maintaining schedules, feedback sessions, and data regarding the preceptor sites. The ideal candidate will have a high level of professionalism and strong communication skills as this position has a high level of interaction with clinical sites to inquire about taking on students, and following up with established clinical sites. The curriculum at the College of Medicine â Phoenix places a high priority on early and continuous clinical training. First- and second-year medical students take part in CCE clinical experience weeks which occur approximately every other week spanning the first two years of the studentsâ curriculum. CCE Clinical Experience weeks are characterized by an ambulatory care preceptor hosting a student in their office where students have many opportunities to further develop interview, physical exam and presentation skills learned in the Doctoring course.This position will be a combination of onsite campus and remote work, and may include a few evening hours.The University of Arizona College of Medicine â Phoenix anchors the 28-acre Phoenix Bioscience Core in the heart of the Valley of the Sun. Duties & Responsibilities
- Assist with all aspects related to the implementation of the Year 1 and 2 CCE Course and contribute ideas for course development.
- Support other data management as needed, using tools such as Signup Genius, Google Drive, MyClinical Exchange, Smartsheet, etc.
- Provide support for the CCE Medical Improv sessions (which includes preparing materials and being on-site for coordination).
- Provide assistance with posting and viewing critical documents (schedules and grades) for the CCE Course. Manage the CCE email account.
- Participate in scheduling, organizing, and documenting meeting logistics for the Year 1 and 2 CCE Course. Interact with students to support successful completion or make up of clinical site experiences.
- Prepare, send, and track periodic CCE surveys of students and preceptors.
- Serve as liaison to faculty, staff, students, alumni, patients, outside agencies, and the public concerning information. Collaborate with faculty and preceptors regularly.
- Assist Manager with tracking of site agreements, information dissemination, and onboarding of preceptors.
- Prepare recruitment letters and mailings to potential clinical preceptors, follow-up on responses, and maintain preceptor database; may attend recruitment meetings.
- Contact external, clinical sites to inquire about taking on students, and follow up with established, external clinical sites.
- Coordinates business affairs, personnel matters, and assist with interpreting policies and procedures.
- Collaborates with the foundational curriculum team to ensure smooth operations by staying informed about team roles, sharing responsibilities, and providing support as needed to maintain balanced workloads and efficiency.
- Investigate, evaluate, and resolve typical administrative and operational problems or situations impacting the work unit.
- Assist in managing all aspects of the CCE Course with manager instruction and guidance, when manager is out of the office.
- Ability to work independently, set priorities in a fast-paced environment with frequent interruptions, multi-task, meet deadlines, and manage competing priorities.
- Knowledge of organizational practices.
- Skill in organizing work of others.
- Ability to effectively communicate.
- Bachelor's degree or equivalent advanced learning attained through experience required.
- One (1) year of relevant work experience required.
- Past work experience in Higher Education or Medical Education Curriculum.
- Proficient in the use of Microsoft Word, Excel, PowerPoint, Outlook, and web based software.
- At least one year of technical experience working in a remote or virtual environment using video conferencing software, preferably Zoom or Microsoft Teams.
- Experience in Curricular Management Systems (i.e.145, Blackboard, D2L).
