Performs high-level financial analysis and tasks during solution design. Participates in and provides subject matter expertise to the proposal development processes. Monitors the business climate, client needs and internal capabilities/plans to enhance quality of solution and proposal. Actively participates and facilitates new business growth within sector. Utilizes prior knowledge and experience to help lead, inform and share “lessons learned” to those preparing business unit proposals. Responsible to establish an ongoing partnership with Sales, Solutions, Finance, and leadership team on assigned projects.Essential Duties and Responsibilities:
  • Coordinates with sales & senior management all large scale multi services proposals (hard/soft/food) to create synergy for creative and winning proposals while implementing “best practices” for the division.
  • While multi-service responsibilities will be proposed, particular emphasis on best practices and solutions relating to janitorial and industrial cleaning will be emphasized.
  • Helps ensure key proposals are properly scoped, identify missing and evaluate assumptions, help identify risks, help to evaluate cost, ensure text and response match requirements.
  • Participates in bidder's conferences, customer site surveys, costing support, etc.
  • Debriefs solutions team on observations and information gathered.
  • Recommends and leads the management of staffing, technical approach, equipment, and tools in collaboration with solutions and operations to ensure accurate services descriptions in alignment with operational practices and procedures; develops and maintains benchmarks specific to the janitorial/cleaning industry.
  • Assist with solutions and sales efforts as required including development of marketing materials, qualification submittals, presentations, and collaborate on writing new materials (past performance, corporate fact sheets, brochures, project literature, and presentations)
  • Helps develop presentation materials for both internal and external needs and ensure consistency and adherence to company's requirements
  • Evaluates key bid opportunities with senior management, sales, legal, and corporate support staff in order to assist the process of preparing and submitting successful solutions.
  • Participates and/or leads strategy sessions on assigned proposals to develop win themes, and other strategic approaches to developing a winning proposal.
  • Works with sales and solutions team to enhance standard boiler-plate and proposal libraries in support of establishing business unit - wide proposal development tools and templates.
  • Participates in proposal review meetings to ensure integration of all proposal activities.
  • Utilizes prior knowledge and experience to help lead, inform and share “lessons learned” to those preparing business unit proposals.
  • Occasionally, assist with proposal writing and/or identify subject matter experts that can effectively contribute to responding to proposal requests.
  • Assists the sales team to guide personnel and processes that generate high quality winning proposals.
  • Ensure effective, efficient, and accurate proposal generation process which meets demanding deadlines.
  • Act as generalist, understanding client needs and internal capabilities/plans to enhance quality of proposals.
Job Summary
  • By overseeing the preparation of large-scale proposals utilizing company approved vendors and service providers to ensure accurate cost estimates on projects.
  • Analyzes customer portfolios, scopes of work, and operating costs and RFP return Compliance
  • Supports pre-transition, due diligence, and transition activities as needed
  • Development of organizational structure, an operational plan, defined scope of service, subcontracting and work management plan for the complete solution.
  • Develops costs for labor, benefits, other direct costs, materials, and subcontracts once all the technical data is evaluated and formulated into the various plans. Applies appropriate markups and customizes the Proforma as required by the customer's RFP pricing template.
  • Performs detailed financial analysis to quantify cost savings or other customer benefits.
Preferred Qualifications:
  • Bachelor's degree or equivalent experience
  • Experience in facility services with an emphasis on janitorial and/or soft services or related field.
  • Possess strong financial and analytical skills. Must be very proficient with Microsoft applications, particularly Excel.
  • Has good written and verbal communication skills and is comfortable working in a dynamic team and customer-facing situations. Home based with regular nationwide travel, willingness to travel 25%.
  • Position requires at least 5 years of related industry experience. Must possess thorough knowledge of corporate policy and company products and services. Management, budgetary and financial training are necessary. Strong project management skills. Proposal development experience preferred. Strong technical competency or the ability to work well with internal technical experts.
