Department: Financial Aid Department's Website: Summary of Job Duties: The Administrative Support Specialist for Financial Aid works under the supervision of the Director of Financial Aid. The Administrative Support Specialist performs administrative duties related to student financial aid programs, performs general office filing and typing, serves as receptionist, and maintains financial aid records for the Financial Aid Department. This position is governed by federal and state regulations and institutional policies. JOB DUTIES AND RESPONSIBILITIES: 1. Meets the Basic Core Competencies of Teaming and Relationship Management for the Financial Aid Office: A. Builds trust-based relationships with other coworkers, stakeholders, and students B. Gives and receives constructive feedback appropriately C. Handles situations with diplomacy and tact D. Works well with others, even in the face of personal differences E. Continually upgrades technical knowledge and awareness of changes within the institution as well as state and federal changes F. Demonstrates effective communication, collaboration, and conflict management within and across the institution G. Works cooperatively with campus faculty, staff, and students to fulfill the Mission of the College. H. Contributes to student success through the delivery of quality student experiences in all aspects of financial aid services I. Goes above and beyond to deliver the best work performance and student experience possible 2. Administrative Duties: A. Gives instruction for completion of financial aid forms and examines the accuracy of documents submitted for the purpose of awarding financial aid B. Provides students with accurate information on the rules and regulations governing financial aid programs, and provides students with information regarding the status and eligibility for those programs. C. Assists students with completing the FAFSA application, YOUniversal application, UACCM and other various scholarship applications. D. In coordination with the Fiscal Support Analyst, reviews the website for necessary updates and updates financial aid forms on an annual basis. E. Notifies students of upcoming financial aid deadlines. F. Types letters, reports, forms, memorandums, cards, and/ or other documents. G. Monitors office supply levels and submits purchase requests as necessary. H. Assists students with needed items as requested and monitors and corrects issues on in Workday. I. Maintains a systematic way of scanning and indexing files in order to aid with the retrieval of needed documentation. J. Reviews and answers questions from the Financial Aid email account. K. Monitors Financial Aid documents submitted in person or via email, processes documents submitted, and communicates with student if documents not accurately submitted. 3. Receptionist Duties: A. Answers telephone in a professional manner. B. Greets students and visitors promptly in a courteous manner. C. Processes incoming and outgoing mail promptly. D. Exhibits positive skills in dealing with students and employees. E. Create and Maintain Financial Aid electronic calendar. 4. Default Management: A. Coordinates with Director of Financial Aid to determine prior loan students to review for default management strategy. B. Maintains lists of prior loan students to email, mail, and/or call regarding prospective defaults on prior student loans, including notes of engagements and contacts made. C. Checks NSLDS for prior loan student loan repayment history and contact information for loan servicers. D. Works with federal work-study students on email, mail, and call campaigns for default management on prior loan students. 5. Special Projects: A. Assists Financial Aid Analysts, Specialist, and Director with various projects. B. Assists with Financial Aid Nights and other various events. C. Performs other duties as assigned. Qualifications: MINIMUM QUALIFICATIONS • The formal education equivalent of a high school diploma • One year of work experience in a specialized or related area applicable to work performed. Other job-related education and/or experience may be substituted for all or part of these basic requirements upon recommendation and approval by the Chancellor.
