As a Staff Assistant, you'll be responsible for performing a wide range of administrative tasks, including: * Scheduling meetings and events * Writing, editing, and proofreading documents * Ensuring phone coverage and responding to client inquiries * Coordinating travel and accommodation arrangements * Managing office supplies and P-card expenses * Tracking employee onboarding tasks and ensuring timely completion * Assisting with station events, planning, and execution * Handling finance and accounting tasks in Workbrain * Processing deprivation letters and arranging local communications * Overseeing employee termination, including allowing and tasks * Supporting timekeeping capabilities, data entry, data validation, and reporting * Maintaining employee records and station meeting plans * Gathering and managing various intermittent reports * Updating required manuals and maintaining security-related documents * Acting as a backup for finance capabilities * Overseeing records for OSHA, security, and other regulatory requirements * Assisting with budget planning and forecasting * Performing other duties as required **What You'll Do** * Provide administrative support for management presentations and special events as needed * Manage, audit, and screen all local invoices through InvoiceWorks and disperse as required * Investigate and resolve office technology issues, including phone and copier machines * Track and ensure employees complete onboarding tasks, including system access, storage assignments, letter drops, regalia, identification cards, fingerprinting, training, etc. * Assist in station event planning, coordination, and execution (e.g., team-building activities, lunch meetings, occasion dinners, recognition events) * Handle finance handling in Workbrain for management and care staff * Process deprivation letters and arrange local communications and responses * Oversee employee termination, including allowing and tasks, as required * Support timekeeping capabilities, data entry, data validation, compromises, and reporting * Maintain employee records and station meeting plans, including monthly crisis response * Gather and manage various intermittent reports, including performance, review, cost, employee engagement, and recognition, etc. * Update required manuals and maintain all security-related documents * Act as a backup for finance capabilities * Oversee records for OSHA, security, and other regulatory requirements * Assist with budget planning and forecasting, including monthly closeout of landing charges * Uphold auditing exercises as required * Track and confirm incentive reserves acquired * Liaise with CRE/Offices and vendors to follow local projects, as needed * Lead/coordinate work with other care staff, as needed * Perform other duties as required **All You'll Need for Success** * Bachelor's degree in any field * Previous office/administrative experience * Strong knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook * Familiarity with procedures, policies, and corporate standards * Ability to focus on work, be meticulous, and meet time constraints * Ability to multitask in a fast-paced environment and handle multiple tasks * Self-motivation and ability to work independently * Strong analytical and problem-solving skills * Ability to understand the functionality and usefulness of specific software and systems **What You'll Get** Join blithequark and take advantage of our comprehensive benefits package: * Medical, dental, vision, and prescription coverage * Virtual doctor visits and flexible spending accounts * 401(k) program with employer contributions after one year * Additional benefits, including our Employee Assistance Program, pet insurance, and discounts on hotels, cars, travel, and more **Why Work at blithequark?** At blithequark, we believe in fostering a culture of diversity, equity, and inclusion.
