Administrative & Client Relations Support Virtual Assistant
Job Description:
• Assist with daily operations, client communication, and lead management
• Book appointments, follow up with leads, track client inquiries, manage invoices, and monitor inventory levels
• Respond promptly and professionally to client emails, calls, and messages via the practice’s business line (RingRX)
• Schedule and manage client appointments, follow-ups, and consultations using Aesthetic Record EMR or other internal systems
• Track and document all incoming leads from calls, website inquiries, and social media channels
• Create, send, and manage invoices and payment records
• Maintain client and financial documentation in organized digital folders
• Learn and master the clinic’s workflow systems (Aesthetic Record EMR, RingRX)
Requirements:
• 2+ years of administrative or client service experience (medical, aesthetic, or wellness industry preferred)
• Strong English communication skills (spoken and written) with Level A or B accent
• Experience using Aesthetic Record EMR or similar medspa booking platforms (preferred)
• Proficient in Google Workspace (Docs, Drive) and Microsoft Word
• Strong organizational and multitasking abilities; detail-oriented and proactive
• Comfortable handling sensitive client and business information confidentially
• Friendly, empathetic, and professional demeanor consistent with a premium client experience
