[Remote] Administrative Assistant to the CEO (Unpaid Volunteer Position)
Note: The job is a remote job and is open to candidates in USA. Menzies Philanthropic Foundation is a non-profit organization dedicated to global orphanage support. The Administrative Assistant to the CEO will manage the CEO's calendar, coordinate communications, and ensure the efficient execution of daily activities.
Responsibilities
• Coordinate and manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
• Prioritize and optimize the CEO's time, ensuring alignment with strategic priorities and business objectives.
• Serve as the primary point of contact for internal and external stakeholders, screening and managing incoming calls, emails, and correspondence.
• Draft, edit, and proofread documents, presentations, and reports on behalf of the CEO
• Prepare meeting agendas, materials, and presentations, ensuring the CEO is well-prepared for all engagements.
• Attend meetings with the CEO, take notes, and follow up on action items as needed.
• Handle sensitive and confidential information with the utmost discretion and professionalism.
• Maintain confidentiality in all communications and interactions, exercising sound judgment and integrity.
Skills
• Proven experience as an executive assistant or personal assistant, preferably supporting C-level executives.
• Excellent organizational and time-management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
• Strong communication and interpersonal skills, with the ability to interact confidently and professionally with stakeholders at all levels.
• Proficiency in English is required.
• Proficiency in Google Workspace, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Exceptional attention to detail and accuracy, with a commitment to delivering high-quality work.
• Discretion and integrity in handling confidential information and sensitive matters.
• Flexibility and adaptability to meet the changing needs and demands of the role.
• Strong problem-solving skills and the ability to think critically and proactively anticipate needs.
• Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.
• Bachelor's degree in Business Administration, Communications, or related field preferred but not required.
• Proficiency in Spanish at professional level is highly preferred.
