We are seeking an experienced and compassionate Part-Time Scheduling Coordinator to join our team in a hybrid remote arrangement. As a Scheduling Coordinator, you will play a vital role in coordinating staffing and scheduling of ABA services, ensuring seamless communication between clients, clinical teams, and our Chief Operations Officer.

Job Summary

We are seeking a highly organized and detail-oriented Part-Time Scheduling Coordinator to join our team in a hybrid remote arrangement. As a Scheduling Coordinator, you will be responsible for coordinating staffing and scheduling of ABA services, generating reports, utilizing scheduling software, tracking cancellations, and arranging field training for new therapists. Key Responsibilities

  • Work collaboratively with Human Resources and the Clinical Team to coordinate the staffing and scheduling of therapists with clients
  • Generate flexible reports on scheduling status of cases and contract fulfillment
  • Utilize scheduling software to manage client and staff schedules
  • Track and manage staff and client cancellations and coordinate coverage or make up sessions
  • Arrange field training for new therapists
  • Program development
  • Supporting the Scheduling team (data entry, phone calls, sending emails, filing, etc.)
  • Other duties as assigned

Requirements and Qualifications

To be successful in this role, you will need to possess the following qualifications:

  • High school degree or equivalent (required)
  • Scheduling experience (required)
  • Customer service experience (required)
  • Administrative experience (required)
  • Strong organizational, interpersonal, and verbal/written communication skills (required)
  • Creative mindset with the ability to follow up (required)
  • Must demonstrate excellent phone etiquette and exceptional customer service skills (required)
  • Must be willing to undergo a FBI and DOJ fingerprint check (required)
  • Time management skills and ability to work within tight deadlines (required)
  • Ability to perform a broad variety of tasks, each requiring a different skill set (required)
  • Detail-oriented mindset (required)
  • Accountability and ownership of your work (required)
  • Problem-solving skills, ingenuity, and ability to follow directions precisely (required)
  • Ability to take initiative without waiting to be prompted (required)

  • Proficient in Microsoft Office and the vast majority of the Google suite of tools (Docs, Spreadsheets, Slides, Mail, Calendar, Voice, Meets, and Search) (required)
  • Language fluency in Spanish strongly preferred (optional)

Physical Requirements

Due to the active and physical nature of this position, the candidate must be able to stand, sit, lift at least 30 pounds, bend, kneel, twist, run, and speak articulately in order to effectively perform in this position.
