About the Role and Our Team
We are seeking an experienced and highly skilled Executive Administrative Assistant to support our Enterprise Control Management Utility Lead and manage the needs of several Vice Presidents and team members. As a key member of our team, you will be responsible for providing exceptional administrative support, ensuring seamless day-to-day operations, and contributing to the success of our organization. Our team is part of American Express National Bank, which represents more than 60% of the company's revenues through consistent payments, financing, and savings products.
Key Responsibilities
- Manage calendars on a daily, weekly, and monthly basis, ensuring effective time management and coordination.
- Coordinate general follow-ups and generate reminders to meet deadlines and commitments.
- Oversee management of IDs, Access, Payroll, and monthly expense reports, ensuring compliance with company policies.
- Arrange logistics for meeting administration, including in-person, telepresence, and WebEx meetings.
- Procure laptops, office supplies, and office space, managing the procurement process, researching, and approving invoices.
- Maintain accurate timekeeping and submission for the team, managing ad-hoc requests and ensuring timely completion of tasks.
- Collaborate with other executive assistants on office operations, maintaining headcount reporting, organizational charts, and department distribution lists.
- Coordinate domestic and foreign travel arrangements, including air, hotel, car transfers, and meeting agendas.
- Ensure timely preparation and processing of expense reports and invoices, reviewing expenses submitted to leaders for approval and highlighting any out-of-policy spend.
- Communicate effectively with team members and key partners, managing the brand of the team and demonstrating meticulous attention to detail.
- Manage office supplies, equipment, and other supply requests, ensuring a well-organized and efficient work environment.
- Perform various accounting functions, including expense management, resource reallocations, and telephonic issues.
- Coordinate facilities management responsibilities, ensuring a safe and comfortable working environment.
- Follow up with team members on training, requirements, and deadlines, providing support and guidance as needed.
- Assist with special projects and initiatives as requested, demonstrating a willingness to learn and take on new challenges.
Essential Qualifications
To be successful in this role, you should have:
- At least 3+ years of experience as an Executive Assistant to a senior leader, with a strong background in office management and technologies.
- Proven experience exercising discretion and confidentiality with sensitive information.
- A motivated and proactive approach, with strong initiative, organizational, administrative, and interpersonal skills.
- Excellent attention to detail, with an emphasis on accuracy, quality, timeliness, follow-through, and a sense of urgency in executing tasks.
- The ability to work well under pressure, maintaining composure and professionalism in a fast-paced environment.
- Strong verbal and written communication skills, with the ability to communicate effectively via phone, email, and in-person.
- High-level proficiency in MS Office, including Word, Excel, and PowerPoint, as well as internal AXP (or related) tools and systems, such as phone functions, MS Outlook, Ariba, Concur, and Payroll.
- Knowledge of AXP policies and office procedures, with a strong understanding of administrative best practices.
