The Content & Booking Assistant plays a pivotal role in the lifecycle of every From Day One event and piece of content. You will be the connective tissue that links speaker talent, audience development, and digital storytelling, ensuring our conferences and publications resonate with the right voices and the right audiences. This position offers a unique blend of administrative precision, creative research, and strategic outreach, providing you with a front‑row seat to the inner workings of a nationally recognized media brand.

Key Responsibilities – What You’ll Own Every Day

  • Speaker Sourcing & Outreach: Identify and evaluate potential speakers across industries, craft personalized outreach emails, and manage the full booking lifecycle from initial contact to contract finalization.
  • Content Ideation & Development: Collaborate with the editorial team to brainstorm article topics, assist in drafting outlines, and conduct background research to enrich storytelling.
  • Audience Development: Maintain and grow our audience database, segment contacts for targeted campaigns, and support the execution of email newsletters, social media teasers, and event invitations.
  • Project Coordination: Track timelines, manage logistics for both virtual and in‑person events, and coordinate with internal stakeholders and external partners to ensure seamless execution.
  • Administrative Excellence: Organize calendars, schedule meetings, prepare briefing documents, and keep accurate records of bookings, contracts, and communication threads.
  • Data Management & Reporting: Compile performance metrics on speaker engagement, audience reach, and content impact, and present insights to senior leadership.

Essential Qualifications – What You Must Bring to the Table

  • Professional Experience: Minimum of 2 years in a related role such as editorial assistance, event coordination, marketing support, or administrative operations.
  • Educational Background: Bachelor’s degree from an accredited university (any discipline) with a strong academic record.
  • Communication Mastery: Exceptional written and verbal communication skills, with the ability to produce clear, concise, and engaging business copy.
  • Organizational Prowess: Proven track record of managing multiple projects simultaneously while meeting strict deadlines.
  • Technical Fluency: Proficiency with Microsoft Office Suite, Google Workspace (Docs, Sheets, Slides), and familiarity with project management tools (e.g., Asana, Trello, Monday.com).
