Experienced Executive Assistant for WDI Design & Planning Studio – Providing Administrative Support to High-Level Executives in a Dynamic and Creative Environment

About the Role and Team
The Executive Assistant will provide exceptional administrative support to the D+P Studio Executives and secondary support to additional leaders as needed and assigned. As a key member of the WDI D+P executive support team, you will play a vital role in helping to cultivate a strong and vibrant studio culture. Your primary focus will be on complex daily scheduling and project support, ensuring seamless communication and collaboration between executives, teams, and departments.
Key Responsibilities
- Operate as the primary point of contact for D+P Executives, managing complex daily scheduling and project support
- Proactively manage leader(s) and team calendars, exercising judgment and prioritizing tasks accordingly
- Prepare leaders for meetings, ensuring agendas are prepared in advance and key stakeholders are informed
- Anticipate future needs and problems, providing proactive solutions and support
- Effectively meet deadlines through multi-tasking, prioritizing, and delegating tasks as needed
- Book travel, create detailed itineraries, and manage expense reports, invoices, and receipts
- Successfully run day-to-day tasks and operations, including phone, email, and mail correspondence, shipping, contacts, and electronic paper files
Communication and Collaboration
As an Executive Assistant, you will be required to communicate effectively with various stakeholders, including executives, teams, and departments. Your excellent communication skills will enable you to:
- Speak on behalf of leaders in conversations and meetings, using diplomacy and judgment as needed
- Handle sensitive information in a discrete and confidential manner
- Accurately communicate and collaborate with production or operational departments and people at all levels
- Draft communications on behalf of leaders, using their style and tone
- Build and assemble presentations to communicate strategies and initiatives
- Establish positive rapport with other assistants, operations teams, production departments, and studio leadership
Special Projects and Initiatives
In addition to your core responsibilities, you will be required to project manage initiatives, programs, and one-off projects as needed, in support of leader(s) goals and assignments. This may include:
- Planning and executing small and large events, including studio-wide meetings, on and off-site meetings, and social events
- Working with individuals outside of the company on various activities, such as scheduling visiting Executive or VIP meetings and arranging event details
- Participating in the hiring process as needed
- Providing leadership, assistance with training, and mentorship within the assistant community
Essential Qualifications and Skills
To be successful in this role, you will require:
- At least 3 years of experience supporting an executive in an administrative support role
- Proficiency in technology, including Microsoft Office, Excel, and PowerPoint
- Superior interpersonal skills and baseline emotional intelligence in both written and verbal communication
- Ability to maintain composure in high-pressure situations and effectively "read the room"
- Strong organizational skills and attention to detail
- High levels of trust, customer service, professionalism, punctuality, and reliability
Preferred Qualifications
While not essential, the following qualifications are preferred:
- 5+ years of administrative experience supporting an executive in a dynamic and demanding environment
- Experience using Disney systems and processes, or an equivalent large-scale company
- Adobe and Photoshop skills
- Advanced Excel skills, including pivot tables and basic formulas
- Experience in SAP/Workday
- Design and/or Construction industry experience
Education and Compensation
A high school diploma is required, although a BA/BS or equivalent is preferred. The hiring range for this position in Glendale, CA is $63,400.00 to $85,000.00 per year, based on a 40-hour workweek. The base pay actually offered will take into account internal equity and may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
