About the Role
We are looking for a highly skilled and organized Executive Assistant to provide administrative support to our Vice President, Business and Legal Affairs, Music, and other team members. As a key member of our Music Business Affairs Group, you will be responsible for managing complex schedules, coordinating travel arrangements, and providing general administrative support. You will also have the opportunity to work on special projects, collaborate with other assistants, and contribute to the development of our team's internal processes and systems.
Key Responsibilities
- Detailed and extensive schedule management, maintaining calendars, and scheduling internal and external meetings
- Booking and coordinating domestic and international travel arrangements
- General administrative duties, including scheduling calls and meetings, processing travel and expense reports, taking, editing, and circulating notes from team meetings
- Facilitating execution of agreements as needed, digital filing, and arranging on-site access for business guests
- Creating presentations under the direction of the team, managing and updating the team's internal website, and other special projects as assigned
- Managing, maintaining, and updating various dashboards, databases, onboarding tools, organization charts, calendars, and trackers
- Planning, booking, and overseeing events, including offsite/onsite meetings, lunches, dinners, and industry events
- Onboarding and setting up new team members, and collaborating with other assistants within and outside of the team
Qualifications and Skills
To be successful in this role, you will need to have:
- A BA/BS degree, with 5+ years of experience as an executive assistant in a business and legal affairs setting
- Unparalleled organizational skills, with an unwavering attention to detail and ability to manage multiple tasks and projects simultaneously
- Tech-savvy, with proficiency in the Google suite of apps, and a strong sense of how cloud-based document and database systems are used in a modern business environment
- Clear, concise communication skills, and excellent interpersonal skills, with the ability to build strong relationships with team members and external partners
- Exceptional judgment, particularly in handling confidential information and supporting personnel matters
- An approach to work that is highly inclusive, collaborative, fluid, and flexible, with a positive response to change, feedback, and new ideas
- Ability to pivot quickly, be resourceful, think practically, and be solution-oriented, with a curiosity and eagerness to tackle additional projects and matters outside areas of expertise
What We Offer
In return for your skills and experience, we offer a competitive salary, with a range of $60,000 - $240,000 per year. You will also have the opportunity to choose how much of your compensation you want in salary versus stock options. Our comprehensive benefits package includes health plans, mental health support, a 401(k) retirement plan with employer match, stock option program, disability programs, health savings and flexible spending accounts, family-forming benefits, and life and serious injury benefits. We also offer paid leave of absence programs, and full-time hourly employees accrue 35 days annually for paid time off to be used for vacation, holidays, and sick paid time off.
