About the Role

This is an exciting remote opportunity with an immediate start. As an Executive Assistant to Senior Leadership, you'll be responsible for providing high-level administrative support to our senior leaders, including calendar management, travel arrangements, and meeting coordination. You'll also have the opportunity to work on various projects and tasks, including recruitment, budget tracking, and PowerPoint presentation preparation.

Key Responsibilities

  • Proactively manage calendar appointments in multiple time zones for multiple VPs.
  • Accommodate last-minute changes and urgent business needs as required.
  • Set the approach for how the VPs spend their time and proactively manage the calendar based on strategy and priorities.
  • Actively flag and problem-solve constraints, ensuring read-ahead materials are provided when required.
  • Coordinate and perform monthly activities, including consolidating organization charts and feedback compilation.
  • Manage travel arrangements and provide detailed itineraries including hotel arrangements and meetings.
  • Arrange and manage meetings, including scheduling conference rooms and coordinating logistics.
  • Assist in tracking team expenditure and monitor T&E and budget.
  • Assist with recruitment for the team, including scheduling interviews and associated tasks.
  • Assist in preparing select PowerPoint presentations.
  • Perform other related projects and duties as requested.

Qualifications

We're looking for an experienced Executive Assistant with a strong track record of providing high-level administrative support to senior leaders. You'll need to have excellent communication skills, both verbal and written, as well as the ability to collaborate with a broad range of contacts and personalities internal and external.

Essential Qualifications

  • Previous experience as an Executive Assistant is required.
  • Strong experience in providing support remotely to a geographically dispersed team.
  • Excellent communication skills, both verbal and written.
  • Relevant educational background in a related field.

Preferred Qualifications

  • Bachelor's degree preferred but not essential.
  • Proven ability to collaborate with a broad range of contacts and personalities internal and external.
